We are Odiham Motorcycle Club CIC Ltd, and we organise or participate in a range of motorcycle activities including rider skills training, road and track riding events and off road training for club members.
We obtain information about you when you use our website, for example, through the use of cookies. Information is also gathered when you register your name and email address to join the website forum and participate in online chats. Additional information may be required from you whenever you purchase a place on an OMCC event.
What type of information is collected from you?
The personal information we collect might include your name, email address, IP address, and information regarding what pages are accessed and when. To subscribe to the forum as a social member we do request personal information such as your email address and name. To join the club as an annual subscription payer we require additional information from you that includes a contact address and telephone number. This information may be used to notify you of event cancellations or for OMCC. By paying the annual subscription you are consenting to storing your data in our database for the duration of your membership plus a maximum 12-month period from the date of your membership renewal date and for OMCC to use that data for the above communications only. If you wish to withdraw your consent to OMCC storing your data, you may do this at any time through your OMCC Account profile page or simply by emailing gdpr@omcc.co.uk. No payment details are ever requested by OMCC or stored within our database. We use external payment systems, such as PayPal, for all payments to the club which protects your payment information. You will never be asked for card or bank details from OMCC. Any communication that you receive that requests such information must be reported to OMCC as soon as possible. We do not perform any direct payment transactions (e.g. credit card processing) via our website. Where we direct you to a third-party web site (e.g. for payment transactions) you are then subject to their privacy policy and we strongly recommend that you read their privacy policy. However, we reserve the right to disclose user information in special cases when we have reason to believe that disclosing this information is necessary to identify, contact or bring legal action against someone who may be causing injury to or interference with (either intentionally or unintentionally) our rights or property, other users, or anyone else who could be harmed by such activities. We also reserve the right to disclose user information when we believe in good faith that the law requires it. We will not share your information with third parties for marketing purposes. When you are purchasing merchandise or a place at an event your payment is processed by a third-party payment processor, who specialises in the secure online capture and processing of credit/debit card transactions. You have a choice about whether or not you wish to receive information from us. If you do not want to receive regular newsletters describing forthcoming events and release dates, then you can select to opt-out of such communications by ticking the relevant boxes situated under your personal profile on the OMCC web site. When you purchase OMCC membership for the first time you will be automatically opted into receiving these notifications which includes confirmation of your membership.
If you have purchased a place at an OMCC event you automatically consent to us contacting you, where needed, specifically about that event. Some events are run on MoD land and as such we may need to contact you to inform you of any documentation requirements, safety issues, delays or cancellations of the event. For that reason, you are unable to opt out of event communications to which you have purchased a place other than by requesting removal from the event by way of a refund, as per the instructions in the Terms and Conditions.
All information held by OMCC about you is available through your OMCC online profile page.
Security precautions are in place to protect the loss, misuse or alteration of your information.
When you give us personal information, we take steps to ensure that it’s treated securely. Our site is secured using SSL encryption. When you are on a secure page, a lock icon will appear on the bottom of your web browser.
Non-sensitive details (your email address etc.) are transmitted normally over the Internet, and this can never be guaranteed to be 100% secure. As a result, while we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us, and you do so at your own risk. Once we receive your information, we make our best effort to ensure its security on our systems. At any time, you may request deletion of your information that is held by OMCC. This can be done in one of two ways.
The simplest method is to head to your OMCC Profile page and click the ‘Delete My OMCC Account’ button. This will set in motion your OMCC Account removal and termination of OMCC Membership.

If your online profile contains an email address you will receive a confirmation email that your data has been deleted. This communication will be copied to OMCC and we will retain a copy of that email as evidence that we have processed your deletion request. Alternatively, you can email admin@omcc.co.uk.
Please include some personal information such as name, address and phone number for easy identification. We may contact you to confirm your details to ensure we treat your data correctly.
Removal of the data from the database will terminate your membership of OMCC. If you wished to renew the membership after that time, even within the same calendar year, it will be treated as a new membership request. No refund will be given for any outstanding months of remaining membership for any given year.
Deletion of your account will immediately terminate your annual membership with OMCC.
There is no refund of the annual membership fee regardless of when it was paid and when the deletion request is made.
You will be immediately removed from any current or future event that you have paid for.
There is no refund of costs for any such event once you initiate the removal of your OMCC Account.
You may sign up for a new OMCC membership at any time.
Our website may contain links to other websites run by other organisations. This privacy policy applies only to our website, so we encourage you to read the privacy statements on the other websites you visit. The following shall apply for all club run events including, but not limited to, ARDs, European trips, Off Road, Mopedathon, UK and European Track days.
There will be no automatic right to a refund from the date of purchase.
All refund requests MUST be completed using the Refund Request facility in the User Account area on this website: MyAccount – EVENTS.
No other mechanism of notification is acceptable, this includes posting on the club forum, Facebook and via email.
Refunds will only be actioned if there is a reserve list in place and a member can fill your place.
All refunds will incur a £5 admin fee.
All refunds will take a minimum of 5-10 days to process once approved.
There will be no refunds within 14 days of the event.
Entry lists for all events will be closed 14-days prior to the event date after this time regardless of any reserve lists there will be no refunds.
We do not operate a credit note system.
OMCC operate a strict reserve list procedure to ensure a fair method of placement management for its members and events. Placements are NOT transferable by any other means and attempts to do so will not be tolerated. This includes posting on the forum, or via other social media platform. The Committee reserve the right to refuse membership and entry to an event for any persons who do not adhere to these terms.
The weather is outside of the control of the OMCC Committee. The OMCC Committee will ensure that any event will only proceed if the weather is suitable and conditions are safe. As OMCC is run as a club and not for profit, refunds will not be given for an event where the weather has precluded activities.
Only participants who hold a valid, full Category-A motorcycle license are permitted to ride at any OMCC event.
Participants are responsible for ensuring that if they are using their own machine for an event, it is mechanically suitable for the event. Should the OMCC Committee deem that the machine is not mechanically suitable for the event, the OMCC Committee reserve the right to exclude the use of the machine for the event. In such cases, the participant forfeits any right to a refund.
Should the OMCC Committee deem that an individual’s behaviour is contrary to the aims and spirit of the event, the OMCC Committee reserve the right to exclude the participant from the event, without any right to a refund.
Any personal event subsidy must be claimed from the OMCC Committee within one month from the date of that event/activity.
Payment for all club events must be made in advance.
Please send any issues about the website, the club members area or club forum or report any problems to our webmaster. Please bear in mind that there will be a delay when answering your request as we all have a job in the real World too. If this delays or prevents you from subscribing to an OMCC event that subsequently sells out, that is outside of our control.
The OMCC Committee are not responsible for loss of track time due to circumstances outside of their control.
If you test positive within 5 days of our events as the UK guidelines recommend (and is common sense) that you self-isolate or at the very least do not attend any of our events. We cannot offer and there will be no refunds, we rely on your integrity to not jeopardise the club’s future and insist you do not attend.
By using this site, by subscribing as a member, by using the forum and/or purchasing a place on or at an OMCC Club Event you signify your consent to the club’s Terms and Conditions as detailed above. If you do not agree to these Terms and Conditions, please do not use this site, do not become a member and do not use the forum.
